COMPENSATION & LOCATION

The compensation is $27.00 per hour based on experience.

This role is onsite at our Elk Grove Village location.

POSITION SUMMARY

We're seeking a motivated professional to join our team immediately in a full-time, onsite, 6-month contract opportunity based in Elk Grove Village, IL. The Recruiting Coordinator supports the execution of Orsini's hiring process by coordinating recruiting activities, managing pre-employment requirements, and ensuring a seamless experience for candidates, hiring managers, staffing partners, and internal teams. 

This role partners closely with Talent Acquisition, People Operations, hiring managers, and staffing agencies to ensure candidates move efficiently through the hiring process—from interview coordination and offer acceptance through compliance, onboarding, and Day One readiness. Responsibilities include coordinating agency partnerships, entering new hires into ADP, monitoring pre-employment compliance, supporting recruiting reports and hiring metrics, and ensuring recruiting activities are completed accurately and on time.

They proactively communicate, prioritize multiple deadlines, and take pride in delivering an exceptional experience for both candidates and internal stakeholders. 

ESSENTIAL JOB DUTIES

Recruiting Coordination & Agency Partnership:  

  • Coordinate recruiting activities from candidate selection through Day One. 
  • Serve as the primary point of contact for staffing agency partners by coordinating candidate submissions, interview scheduling, hiring manager feedback, offers, conversions, and start dates. 
  • Partner with recruiters and hiring managers to ensure timely movement through the hiring process while delivering an exceptional candidate experience. 

New Hire Administration & Compliance:  

  • Coordinate all pre-employment requirements, including background screenings, drug testing, compliance documentation, and onboarding paperwork.  
  • Monitor compliance daily to ensure candidates are fully cleared prior to orientation.  
  • Enter new hires into ADP, verify employee information for accuracy, and partner with HR, IT, and onboarding teams to ensure Day One readiness. 

Reporting, Tracking & Recruiting Administration:  

  • Maintain recruiting trackers, onboarding rosters, hiring metrics, and recruiting reports.  
  • Support reporting inputs for Talent Acquisition leadership, maintain candidate records within the ATS, ensure data integrity, and assist with job postings, recruiting documentation, and other recruiting administrative functions

Team Support:  

  • Assist with special projects, documentation updates, onboarding support, and other Talent Acquisition initiatives while providing excellent customer service to candidates, hiring managers, and internal partners. 
  • Other duties and responsibilities as required.

REQUIRED QUALIFCATIONS

Education: H.S. Diploma/GED equivalent 

Experience:

  • 2+ years of recruiting coordination, talent acquisition, HR, staffing, or administrative experience. 
  • Experience coordinating multiple priorities in a fast-paced, deadline-driven environment. 
  • Experience working with an Applicant Tracking System (ATS); experience with ADP Workforce Now or a similar HRIS is preferred. 
  • Experience partnering with staffing agencies or third-party vendors. 
  • Proficiency with Microsoft Office, including Outlook, Excel, Word, and Teams. 
Skills:
  • Highly organized with exceptional attention to detail. 
  • High sense of urgency and ability to effectively prioritize competing deadlines. 
  • Proven ability to follow through, take ownership, and consistently get things done. 
  • Strong organizational and time management skills. 
  • Excellent verbal, written, and interpersonal communication skills. 
  • Ability to build and maintain positive relationships with candidates, hiring managers, staffing partners, and cross-functional teams. 
  • Customer service mindset with a collaborative approach. 
  • Strong problem-solving skills and sound judgment. 
  • Ability to adapt quickly in a fast-paced, changing environment. 
  • Maintains a high level of professionalism, confidentiality, and integrity. 
  • Proficient in Microsoft Office Suite (Outlook, Excel, Word, and Teams) and comfortable learning new technology and systems.
